Set Clear Expectations Before the First Visit

Clear expectations eliminate confusion, reduce interruptions during your workday, and ensure both you and the cleaning team understand what success looks like.

Create a detailed written agreement covering scope of work, timing, and access. Specify which rooms need attention, which areas are off-limits, and any items requiring special handling. If you work from home, communicate your schedule explicitly, your typical work hours, which rooms you’ll be using, and whether you’ll be present during cleaning.

Include specific details about entry and exit procedures: key code, physical key, or will you let them in? Clarify parking arrangements and where they should store supplies. Address how to handle your personal items, locked drawers, and preferred communication methods for urgent questions.

Document special requests upfront: areas needing extra attention, delicate surfaces, products to avoid, and any household sensitivities or pets.

How to Prepare Your House for the Cleaning Service

Preparing your home before cleaners arrive makes their job more efficient and protects your belongings.

Clear kitchen countertops of small appliances, mail, and personal items. Put away bathroom items, toothbrushes, medications, cosmetics, so cleaners can access and sanitize surfaces quickly. This step cuts cleaning time significantly (peer-reviewed research).

Secure valuables and sensitive items before they arrive. Lock away jewelry, important documents, and anything you’d prefer them not to handle. Close bedroom doors if certain rooms are off-limits.

Communicate problem areas in advance. If a particular stain is stubborn or a surface is delicate, mention it beforehand. Leave written notes if you’re working from home during cleaning to prevent awkward interruptions.

Ensure the team has clear access to water, electrical outlets, and storage for supplies. Point out trash, recycling, and compost bins. Have any specific cleaning products ready and accessible.

Check that bathrooms have adequate ventilation and windows can open for airflow. Clear obstacles that might slow them down, cords, pet toys, or clutter on stairs. The more prepared your space is, the faster they work.

Establish Professional Boundaries and Communication

Working from home while cleaners are present requires clear boundaries that protect both your productivity and their ability to work effectively.

Establish a communication protocol before they arrive. Agree on whether they should knock for questions or use text messaging instead. Most professional teams prefer to work independently and only interrupt for genuine emergencies or clarifications that can’t wait.

Create a dedicated communication channel, group text, email thread, or shared document, where you can leave notes and they can flag issues. This asynchronous approach prevents interruptions during important calls or focused work.

Agree on a signal system if they do need to reach you urgently. A phone call might mean something requires immediate attention, while a text is informational. This distinction prevents constant low-level interruptions.

Discuss privacy expectations explicitly. Clarify which personal spaces are off-limits and what they should do if they encounter unexpected items, open laptops, confidential documents, or personal belongings.

Set expectations about their presence in shared spaces. If you’re on a video call in the living room, they should work elsewhere temporarily. If you’re in your office with the door closed, they can proceed with adjacent rooms.

House Cleaning Etiquette for Homeowners

Professional cleaning etiquette starts with treating the team as skilled professionals. Greet them when they arrive and thank them when they leave. These small courtesies build rapport and encourage consistent, high-quality service.

Offer basic hospitality if they’re working for several hours, water, coffee, or access to the bathroom. Respect their time and workflow. Don’t ask for significant deviations from their planned route unless truly urgent. Save special requests for scheduled deep cleaning appointments.

Keep your workspace organized and protected. Close your office door, put your phone on silent, and avoid having them work in the same room during important calls.

If something isn’t done to your satisfaction, address it professionally and specifically: “I noticed the baseboards in the hallway weren’t wiped down, can that be included next time?” Maintain consistency in how you interact with the team to build a professional working relationship. adapting management styles.

Create a Work Zone and Minimize Distractions

Establishing a dedicated work zone is essential when managing cleaners while working. Choose a room with a door that closes, a home office, spare bedroom, or quiet corner. The door signals to the cleaning team that you’re in focused work mode.

Set up your workspace with everything you need before cleaners arrive. Charge devices, gather documents, and have water or coffee within arm’s reach to eliminate the need to leave your work zone.

Use noise-canceling headphones or background music to minimize cleaning sounds. This dramatically improves your ability to concentrate during calls and signals to the team that you’re unavailable.

Inform the team which room you’ll be working in and ask them to save that area for last if possible. Adjust your schedule when possible, batch demanding work for other times and schedule lighter tasks like email for cleaning days.

Plan for transition time. Don’t schedule back-to-back video calls spanning the entire cleaning window. Build in 15-minute buffers to handle any minor issues the team might flag.

How to Give Feedback to House Cleaners

Constructive feedback helps the cleaning team understand your standards and maintain quality over time. Address issues promptly but privately within a day or two.

Be specific about what needs improvement. Instead of “the house doesn’t feel clean,” say: “The dust on the ceiling fan blades in the bedroom wasn’t addressed” or “The kitchen baseboards still have some marks.” Specificity shows you’ve noticed their work and gives concrete direction.

Acknowledge what they did well. If the kitchen sparkles or bathrooms are spotless, say so. Positive feedback motivates continued quality and creates balance.

Use a written feedback system for recurring issues. Share a simple checklist or notes document where you can flag things before their next visit.

Distinguish between preference and performance. Some things like which room to clean first are preferences. Others like actually sanitizing surfaces are performance standards. Make this distinction clear.

If consistently unhappy with service, have a direct conversation about expectations. It’s possible your standards don’t align with the team’s capabilities, or there’s a misunderstanding about scope.

Eco Friendly Cleaning Products for Homes

Many professionals managing cleaners while working prefer eco-friendly cleaning products, especially when family members or pets are present. These products reduce exposure to harsh chemicals while maintaining effectiveness.

Eco-friendly products use plant-based ingredients, essential oils, and biodegradable surfactants instead of synthetic chemicals (the EPA). They’re less likely to trigger respiratory issues or allergies (the CDC). The trade-off is that some require slightly longer contact time for heavily soiled surfaces.

Communicate your product preferences to the cleaning team before they start. If you want only eco-friendly products, provide them or specify brands you trust. Many professional teams are happy to use client-supplied products.

Look for products certified by reputable organizations like Green Seal or EcoLogo. These labels help identify genuinely eco-friendly options rather than greenwashing.

Common eco-friendly alternatives include vinegar and baking soda for surfaces, castile soap for general cleaning, and essential oil-based disinfectants. These work well for routine maintenance but may not be ideal for heavy-duty jobs. Discuss with your cleaning team which tasks might require conventional products.

Maintain Cleanliness Between Professional Visits

Professional cleaning services typically come on a set schedule. The time between visits is when you maintain cleanliness and prevent the space from becoming unmanageable.

Develop a simple daily maintenance routine taking 10-15 minutes. Wipe down kitchen counters after meals, put items back where they belong, and do a quick sweep of high-traffic areas. This habit makes the professional cleaners’ job easier.

Use the “one-touch rule” for clutter. When you pick something up, put it away immediately rather than setting it down temporarily. Address spills and messes immediately, fresh spills are easier to clean than dried stains.

Schedule your professional cleaning strategically. If you know you’ll have guests on Friday, schedule the cleaner for Thursday. Create cleaning stations in frequently used areas with basic supplies for quick touch-ups.

Involve household members in maintaining cleanliness. When everyone contributes to basic maintenance, the space stays cleaner longer.

Document what the professional team accomplished so you know what to maintain. After a few visits, you’ll understand which areas need daily attention and which stay clean longer.

Frequently Asked Questions

Should I stay home when house cleaners are there?

You don’t need to stay home the entire time, but being present for the first visit helps. Use this time to show cleaners your priorities, answer questions, and confirm they understand your expectations. For subsequent visits, you can work from another room or leave if you prefer. Many professionals prefer working without constant oversight. Establish a communication method (text or call) so they can reach you if questions arise.

How do I prepare my home for a professional cleaning service?

Clear clutter from surfaces, floors, and countertops at least one day before the appointment. Put away personal items, secure pets in a separate room, and remove any obstacles from work areas. Leave a list of priority zones and any special instructions. Ensure cleaners have access to water, electrical outlets, and storage for supplies. Communicate any fragile items or areas that need extra care. This preparation saves time and helps cleaners focus on thorough cleaning rather than moving items around.

What is the standard etiquette for having a cleaner in my home while I work?

Keep background noise minimal during work calls. Provide clear access to all areas needing cleaning and let them work without constant interruptions. Offer water or restroom access as a courtesy. Avoid hovering or watching them work, as this can create discomfort. If you need to communicate during the visit, keep it brief and professional. Respect their time and expertise by following the service agreement. This approach maintains a professional relationship while allowing them to complete their work efficiently.

How do I know if eco-friendly cleaning products are actually safe for my family?

Ask your cleaning service for a list of specific products they use, including ingredient information. Look for certifications like EPA Safer Choice, Green Seal, or EcoLogo, which verify products meet strict environmental and safety standards. Verify that products are non-toxic and safe around children and pets. Request a test run in one area if you have concerns. Professional services like Ultim8 Cleaning Services use high-quality, environmentally safe products designed to protect your family’s health while delivering thorough cleaning results.
